"Flowvent", "we", "us", or "our" refers to the operator and owner of the Flowvent platform and the Flowvent Track applications. "You" refers to any individual or legal entity accessing the services, whether as an event host or administrator ("Organizer"), an event official or check-in operator ("Official"), an attendee, or a parent/guardian registering or tracking an attendee ("User").

You must provide truthful, accurate, and complete information when creating an account or registering for an event. You are solely responsible for maintaining the confidentiality of your credentials and for all activities occurring under your account or API sessions.

You must be at least 18 years of age (or the age of legal majority in your jurisdiction) to establish an Organizer or Guardian account. Attendees under the age of majority must be registered exclusively by a parent, legal guardian, or authorized institution having lawful authority.

When hosting events on Flowvent, you act as the primary merchant of record and legal Data Controller for all attendee data collected. You covenant and agree to:

• Collect only personal information that is demonstrably necessary for the lawful execution of the event;
• Obtain all mandatory parental, guardian, and attendee consents required under applicable data protection laws (including NDPR, GDPR, COPPA) before collecting minor information;
• Deliver the event, facilities, and services as advertised to ticket holders in good faith;
• Maintain current, accurate settlement banking details connected through our payment gateway; and
• Promptly handle refund requests and attendee inquiries in accordance with your published refund policy.

When you purchase a ticket or submit a registration, your contractual agreement for event admission is directly with the Event Organizer. Flowvent operates as the technology intermediary and payment collection platform.

You represent and warrant that all attendee information, emergency contacts, and medical authorizations supplied during registration are genuine and accurate. Impersonation, submission of fraudulent details, or unauthorized use of payment credentials constitutes a material breach and grounds for immediate revocation of tickets.

The Flowvent Track native application is licensed to you on a limited, revocable, non-exclusive, non-transferable basis solely for your internal or personal event-related use.

• Camera Permission: The app utilizes your device camera strictly to scan optical barcodes and QR codes for touchless check-in and ticket validation. You agree not to misuse scanner surfaces to photograph unauthorized individuals or capture copyrighted materials.
• App Store Terms: If you download Flowvent Track from the Apple App Store or Google Play Store, you acknowledge that these Terms are between you and Flowvent only, and not with Apple Inc. or Google LLC. Apple and Google have no obligation to provide maintenance, warranty support, or handle product claims.
• Push Notifications: You consent to receive operational alerts regarding check-in verifications, schedule adjustments, perimeter safe zone notifications, and SOS broadcasts. You may manage these alerts within device settings.

Payments are executed via Paystack (or other designated processors). Flowvent assesses a platform processing fee of 3% (inclusive of processor and gateway charges). Organizers designate whether this fee is absorbed into the ticket price or passed transparently to the attendee checkout total.

Settlement payouts to the Organizer's verified bank account occur on a rolling T+1 business day basis, subject to banking clearing schedules, holidays, and processor risk verification protocols.

Ticket refunds are adjudicated at the sole discretion of the Event Organizer, subject to consumer protection statutes. Approved refunds will be credited through the original payment instrument. Processing fees already consumed by third-party clearinghouses may be non-refundable.

If a chargeback or payment reversal is initiated, Flowvent reserves the immediate right to invalidate the associated digital ticket, revoke check-in credentials, and recoup associated chargeback dispute penalties from the Organizer.

Our processing of personal data across web and mobile surfaces is governed by our Privacy Policy, which is incorporated into these Terms by reference.

Organizers own their event rosters, attendee responses, and uploaded media. Users retain the absolute right to request account deletion and data erasure at any time in accordance with Section 8 of our Privacy Policy.

You expressly agree not to use the web platform or mobile application to:

• Facilitate, advertise, or collect funds for illegal, fraudulent, defamatory, or harmful activities;
• Transmit unsolicited mass messages, spam, or abusive communications;
• Reverse-engineer, decompile, disassemble, or tamper with the application binary or network APIs;
• Circumvent rate limits, authentication tokens, host tenancies, or security controls;
• Upload malicious code, viruses, or assets that infringe on third-party intellectual property rights.

All intellectual property rights in the Flowvent platform, the Flowvent Track mobile apps, source code, UI designs, brand assets, and proprietary algorithms remain the exclusive property of Flowvent and its licensors. You are granted only the limited revocable rights explicitly articulated in these Terms.

THE PLATFORM AND MOBILE APPLICATIONS ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, FLOWVENT DISCLAIMS ALL LIABILITY FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOSS OF PROFITS, DATA, OR GOODWILL. OUR TOTAL CUMULATIVE LIABILITY FOR ANY CAUSE OF ACTION ARISING OUT OF OR RELATED TO THESE TERMS SHALL NOT EXCEED THE TOTAL FEES RECEIVED BY FLOWVENT FROM YOU IN THE TWELVE (12) MONTHS IMMEDIATELY PRECEDING THE CLAIM.

You may terminate your account at any time by stopping all use and requesting account deletion. Flowvent reserves the right to suspend or terminate your access immediately, without prior notice, in the event of a breach of these Terms, suspected fraud, or where required by law enforcement or regulatory authorities.

We may revise these Terms from time to time. Any material changes will be notified via our platform or through electronic mail. Your continued use of Flowvent or Flowvent Track following the posting of amended Terms constitutes your unconditional acceptance.
