Terms & Conditions

These Terms govern your use of Flowvent — a hosted platform for collecting event registrations, processing payments, and managing check-ins. By creating an account, registering for an event hosted on Flowvent, or initiating a payment, you agree to be bound by these Terms.

1. Who you are agreeing with

"Flowvent", "we", "us", or "our" refers to the operator of the Flowvent platform available at flowvent.app and its subdomains. "You" refers to the individual or organization using the platform, whether as an event organizer (admin) or as an attendee registering for an event.

2. Your account

You are responsible for keeping your login credentials confidential and for every action taken under your account. If you suspect your account has been accessed without your permission, contact us immediately.

You must be at least 18 years old to create an organizer account. Attendees under 18 must be registered by a parent or guardian.

3. For event organizers

As an organizer you are the data controller for the registrations you collect. You agree to:

  • Only collect personal data that is genuinely needed to run your event.
  • Use Flowvent's tools (form builder, check-in, payouts) in good faith and in compliance with applicable law, including data-protection rules in your jurisdiction.
  • Honour the event you advertise — date, venue, deliverables — or issue refunds in line with section 6 when you cannot.
  • Maintain accurate settlement-bank details. Funds are paid out to the bank account you connect via Paystack; we are not responsible for misdirected payouts caused by incorrect bank details you supplied.

4. For attendees

When you register for an event you are entering into a contract with the event organizer, not with Flowvent. Flowvent acts as the registration and payment-collection platform on the organizer's behalf.

You agree to provide accurate information. Submitting false or misleading personal data (including using someone else's email or payment instrument without permission) is a breach of these Terms and may be a criminal offence.

5. Payments, fees & payouts

Payments are processed via Paystack. Flowvent charges a transaction fee of 3% (1.5% platform + 1.5% processor). Organizers choose, per event, whether the fee is deducted from their payout or added to the attendee's checkout total.

Successful payments are settled to the organizer's connected bank account on a T+1 rolling basis (typically within 24 hours of the transaction). Settlement timing ultimately depends on Paystack and the receiving bank and may be delayed by holidays or banking outages.

Currency is denominated in the event's configured currency (default NGN). Cross-currency conversion, if any, is handled by Paystack at their prevailing rate.

6. Refunds & chargebacks

Refunds are issued at the event organizer's discretion unless the law of your jurisdiction requires otherwise. Approved refunds are returned via the same payment method used to register, less the original transaction fee where already collected by Paystack.

If you initiate a chargeback or dispute through your card issuer, your registration and any associated check-in may be invalidated until the dispute is resolved.

7. Data, privacy & retention

We process registration data, payment metadata, and check-in activity to provide the service. Personal data submitted by attendees is shared with the relevant event organizer (who is the controller for that data) and with sub-processors needed to operate the platform (e.g. Paystack for payments, Resend for email delivery).

Organizers may mark a registration as "Irrelevant" from their dashboard, which removes it from default views but keeps the record recoverable from the Irrelevant tab. Full deletion of attendee data is available on request.

8. Acceptable use

You agree not to use Flowvent to:

  • Collect payments for events that are illegal, fraudulent, or misrepresented;
  • Spam, harass, or send unsolicited bulk email from the platform;
  • Attempt to reverse-engineer, scrape, or interfere with the platform's security or availability; or
  • Upload content that infringes someone else's rights or violates applicable law.

9. Intellectual property

Flowvent and its underlying code, design, and trademarks are owned by us or our licensors. You retain ownership of the content you upload (event banners, form questions, email copy); you grant us a non-exclusive licence to host and display that content as needed to provide the service.

10. Disclaimers & liability

The service is provided "as is". To the maximum extent permitted by law, Flowvent disclaims all implied warranties and is not liable for indirect, incidental, or consequential damages, or for lost revenue or profits. Our total aggregate liability for any claim arising out of these Terms is limited to the fees you have paid us in the twelve months preceding the claim.

11. Termination

You may stop using Flowvent at any time. We may suspend or terminate accounts that breach these Terms, with or without prior notice where the breach is serious or ongoing. Suspension does not relieve you of any obligation to pay fees already owed.

12. Changes to these Terms

We may update these Terms from time to time. When we do, we'll update the "Effective" date at the top of this page; material changes will be communicated by email or via an in-app notice. Continued use of the service after a change constitutes acceptance.
